Privacy Policy

Sponsorly is a tool that helps community sports clubs manage their sponsorships. This policy explains what personal information we collect, why, and how we handle it. We follow the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth) as our benchmark, even while we are a small business.

What we collect

  • Club users: your name, email address, and (if you add it) your phone number, plus your notification preferences.
  • Sponsor contacts your club enters: business contact names, roles, emails and phone numbers.
  • Contract documents your club uploads: these may contain signatures, ABNs and commercial terms.

By design we do not collect health information, financial-account details, or any information about players or members as individuals.

Why we collect it

Solely to provide the service: managing your sponsors, contracts, benefits, deliverables and payments, and sending the reminder emails you ask for. We do not sell personal information, and we do not use it for advertising.

Where it is stored

Our primary database — including account details — is hosted in Sydney, Australia. Uploaded files are stored with a best-effort Oceania region preference. Some of our providers process data on infrastructure outside Australia (principally the United States); this is a disclosure under APP 8, and we remain accountable for your information.

Who helps us run the service (subprocessors)

  • Vercel — application hosting (US).
  • Neon — database hosting (Sydney).
  • Cloudflare R2 — file storage.
  • Resend — sending transactional and reminder email (US).
  • Sentry — error monitoring (US).

How we protect it

Each club's data is isolated and only reachable by that club's signed-in users. Data is encrypted in transit, files are served only via short-lived signed links, and access is logged. No third-party advertising or analytics scripts run on our pages.

Access, correction and deletion

You can view and correct your own details in the app. To request access to, correction of, or deletion of your personal information — or to have your club's data exported or removed — email us at privacy@sponsorly.app. We action these requests manually and promptly.

Data breaches

We keep a breach-response plan aligned with the Notifiable Data Breaches scheme: detect, contain, assess, and — where serious harm is likely — notify affected people and the OAIC.

If you have a privacy concern, contact us first at privacy@sponsorly.app. You can also complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

Changes

We may update this policy as the service grows. Material changes will be reflected in the “last updated” date above.
